How to Import IIF File into QuickBooks and Online?

  • Choose Export IIF Files

  • Enter a File name
  • Click Save
  • Click OK

Step 2: Import IIFs

  • Log in to your company file
  • Log in as Admin
  • Click on the displayed File
  • Choose the mode- Switch to Single-user
  • Take a backup of the company file
  • Click on the displayed File menu
  • Choose Utilities
  • Click Import
  • Choose the particular Import IIF Files
  • Browse the IIF file that needs to be imported
  • Select it and click Open
  • Click OK to confirm the import

Step 3: Edit the IIF File

  • Open MS Excel
  • Go to the displayed File
  • Choose Open
  • Browse the particular IIF file you want to edit
  • Specify the File type in the drop-down
  • Choose All Files
  • Choose the specific IIF file and click Open
  • You will get a Text Import Wizard
  • Click Next
  • Click Next and Finish
  • Make the required changes
  • Again, click on the File menu
  • Select Save
  • Click Yes
  • Close Excel
  • You will receive a prompt asking you save the IIF File again
  • Click Don’t Save

Process II – Improved Import of IIF File into QB

  • Move to the File menu
  • Choose Utilities
  • Select Import
  • Choose the displayed IIF Files
  • Click on Import IIF
  • Locate the specific file
  • Select OK

[NOTE: It is advisable not to select the Import it for me option. I’ll fix it later. This is because this alternative bypasses the review made to the data and the information imported might be incorrect or incomplete when compared to the original file. Secondly, you also need to Switch to Single-user Mode to accomplish this mode of import.]

  1. When the import is accomplished, click Done

There is a cap on the number of list items you can import. For more information, see the Maximum number of List Entries.

  1. The IIF file import process does not link transactions. After the import, for instance, you still need to link an invoice and an invoice payment.
  2. Go to the Receive Payments or Pay Bills window to link transactions. Additionally, you can import and link transactions using third-party apps.
  3. Data in the item’s custom fields cannot be imported when assembly items are imported.
  4. Price levels that are put up on a per-item basis cannot be exported or imported.
  5. Only IIF files can be used to export payroll information from QuickBooks Desktop to Intuit Online Payroll/Intuit Full Service Payroll.
  6. IIF files cannot be imported or exported from one country’s QuickBooks version to another country’s QuickBooks. Taking QuickBooks as an example, moving from the US version to the Canadian one.
  7. Leading zeros cannot be entered in Microsoft Excel when creating an IIF import file. You can format the column cells as Custom as a workaround.

Export IIF files into QuickBooks:

The user must do the following actions to import the payroll IIF file:

  1. Log in as an admin to your company file.

Reminder: To switch to the single-user mode in multi-user mode, choose Switch to Single-user Mode from the File menu.

  1. Select Utilities from the File menu.
  2. Select Lists to IIF Files after choosing Export.
  3. Then click OK after selecting the lists you wish to export.
  4. Choose a location to save your IIF file from the Save in the dropdown menu.
  5. Select Save after entering a file name.

How to import an IIF file for payroll into Quickbooks Online:

Before importing the QuickBooks Online file, you must configure the Names, Sales Tax Products, and Account Products.

You must adhere to the following rules to accomplish this:

  1. First, sign in as an admin to your QuickBooks account.
  2. Verify that you are working in single-user mode.
  3. You must now access the corporate file.
  4. Then navigate to Utilities and select “Import” from the menu.
  5. You must now select the IIF files.
  6. The IIF file’s location must then be browsed, and it must be chosen.
  7. Click the Open button one more after that.
  8. When a confirmation notice appears on your screen, select Yes.
  9. Once the software hasn’t finished, wait until it does before clicking the “Ok” button.
  10. If you don’t set up the data, the import of the IIF file will set up some of the data, but most of it is necessary and won’t work. The account must then be set up similarly to a standard bank account.
  11. Your client name is then put up as a different name, but you are still unable to use it on an invoice.

Quickbooks Desktop Payroll IIF file import in bulk:

By clicking the “Get Software Now” button on any tool or app from the QuickBooks AppStore, you may connect your QuickBooks account to import data in bulk.
